Gudany Day Care — KidKonekt Platform Disclosure

Gudany Day Care uses KidKonekt, a third-party daycare management platform, to manage day-to-day administration, including child registration, attendance and pickup verification, invoicing and fee payments, parent communication, photo/media sharing, and reporting.
This page explains what that means for you as a parent or guardian.
1. What Is KidKonekt?
KidKonekt is software provided by KidKonekt (a product of BitWebDesigns) that Gudany Day Care uses to run its administrative operations. When you register your child with us, log in to our parent portal, receive invoices, or get messages and notifications from us, you are interacting with the KidKonekt Platform on our behalf.
2. Who Is Responsible for Your Information?
Gudany Day Care is the responsible party for your and your child’s personal information under the Protection of Personal Information Act 4 of 2013 (“POPIA”). We decide what information is collected and why.
KidKonekt acts as our operator — they provide the technology and store the data securely on our behalf, under our instruction. KidKonekt does not use your information for their own purposes and does not sell it to third parties.
3. What Information Is Collected Through KidKonekt
Through the Platform, we collect and process:
- Your child’s full name, identity/passport number, date of birth, home address, and relevant health or medical details;
- Parent/guardian names, identity numbers, contact details, and relationship to the child;
- Emergency contact details;
- Attendance and pickup/drop-off records;
- Invoicing and payment records (payments are processed securely via PayFast; we do not store your full card details);
- Messages exchanged between Gudany Day Care and you through the Platform;
- Photos and updates shared through class or school media features.
4. Why We Collect This Information
We use this information to:
- Register and manage your child’s enrollment with us;
- Verify identity at pickup and drop-off for your child’s safety;
- Invoice and collect payment for fees;
- Communicate important updates, announcements, and notices;
- Share photos and updates from your child’s day with you;
- Meet our administrative and regulatory record-keeping obligations.
5. How Your Information Is Protected
Information is stored on KidKonekt’s secure infrastructure with access controls that restrict your data to authorised Gudany Day Care staff only. 6. Your Rights
You have the right to request access to, correction of, or deletion of your or your child’s personal information, subject to our lawful record-keeping requirements (e.g. financial and enrollment records we are required to retain). To exercise these rights, please contact us directly using the details below — not KidKonekt — as we are the responsible party for your data.
